Teams Recap: February 2023

With Teams Premium dominating the UC&C platform’s new features release, we present all the updates rolling across the rest of the Microsoft Teams licences.

The latest innovations include developments for virtual appointments, new calling features, changes for chat and collaboration, features for teachers and students, plus additional admin functionality for Teams management.

Chat and Collaboration

Organisations can now Start Teams chats with distribution groups, mail-enabled security groups, and Microsoft 365 groups to collaborate, communicate, and share organisational knowledge and workflows at scale. Audiences can be reached instantly through Teams chat. Teams users can search for groups, select them, and chat with group members. Admins can turn off this ability to chat with groups in the Teams admin centre.

Developers now have access to news events with Edit and delete events support for messages in user: bot chats. This feature allows them to access, edit, or delete event updates for a user’s messages.

If users need to send a chat message to a colleague whose work hours differ, Viva Insights can automatically make suggestions with Schedule send suggestions with Viva Insights as soon as they start typing their message in the chat compose box. Users can privately send a chat message with one click and know it will be delivered at the start of their co-worker’s working hours.

Similar to @mentioning individuals in chat, Mention everyone in chat means users now have a new option to notify everyone in a group chat with one message. If the user types @all, everyone in the discussion will be announced immediately, saving them the trouble of @ing each person’s name individually.

Users can now return missed calls directly from their activity feed in Teams by simply clicking the call button with Missed call notification in the activity feed.

Basic Functionality Virtual Appointments Features

For all Microsoft 365 and Office 365 licences, these Virtual Appointments features apply:

Virtual Appointments Teams meeting template in Teams Calendar for external meetings: Direct from a Teams calendar, schedulers can create an external meeting using the Virtual Appointments Teams meeting template.

The template has custom fields for personalised, external business-to-customer (B2C) meetings. It also lays out a routine scheduling flow, with B2C features, for example, tailored meeting invitations for external guests, the ability to join on any device without first having to install Teams, and a pre-appointment lobby that guests can enter before their meeting begins.

To access this: Users create an external meeting by navigating to the Teams Calendar, selecting the dropdown menu next to the “New meeting” button, and selecting “Virtual appointment.”

Virtual Appointment Graph APIs: One for developers using Graph APIs, enabling them to make enterprise-to-consumer scenarios.

The virtual booking join link can be embedded in any application and currently includes a client waiting room, and a mobile browser join experiences for broader business-to-customer engagement. Microsoft is planning to make more of these features available in Teams Premium.

New Calling Features

  • Multitask with Picture-in-Picture mode on iPhone/iPad:- Callers can use their finger to resize with the picture-in-picture mode on iOS and place it anywhere, and it is available when they leave the Teams app during a meeting. It makes it convenient to use other apps and multitask.
  • Support for co-organizers to manage Breakout Rooms:- Co-hosts can use this feature to create and manage breakout rooms and switch meeting hosts.
  • Presenter window usability improvements in screen sharing:- The new presenter window has controls at the top to see the active speaker’s face during screen sharing. Plus, users will see a “raise hand” notification for better recognition.
  • Authentication improvements:- Sign-in is more reliable, outages are less impactful, and the correct online/offline phone status is now reflected in the Teams admin centre. Other improvements have been made to display detailed error messages for authentication failures so team members can understand what’s going wrong.
  • Enabling new call controls with Survivable Branch Appliance:- Continuity of service during network outages is vital: Survivable Branch continues to invest in its appliance capabilities. In the event of a network outage, users can now access call control. Find contacts, dial by name, and initiate calls from call history are also available.
  • Support for Android devices in the Teams Rooms Pro Management portal:- The Teams Rooms Pro admin portal now registers, monitors, and reports on Android devices. It’s a multi-OS, multi-brand device management with an AI-powered platform that enables proactive management, easy access to Android and Windows Teams Rooms device reports and insights, and inventory management. Usage reports with the Teams Rooms Pro system are also available.

Teams for Education

Two new features are now available for teachers to liaise with parents and students. With the parent connection feature, Invite parents via SMS for Communication, teachers can communicate with a student’s parent or guardian. Admins can now select Email or SMS as their preferred Parent Connect invitation channel to enable parent-teacher communication. The messages sent to parents and guardians are plain text with no HTML, formatting or styling applied. The Parent-teacher meetings feature allows teachers to schedule virtual appointments with students’ parents via Teams. 

Non-Teams Premium Meetings Notices

Support for tabs for anonymous users in meetings: Developers now can show tab experiences for anonymous users in Teams meetings.
Targeted in-meeting notification: Users can now send notifications to specific people in a meeting via a bot.

Two New Devices Certified for Microsoft Teams:

1. Lenovo ThinkSmart One collaboration bar and Lenovo Core Bundle for Teams Rooms on Windows
2. Crestron FLEX Microsoft Teams Rooms kit* with the Dell OptiPlex for Teams Rooms on Windows

Platform Management

Admins can now manage the entire Surface Hub lifecycle with Manage Surface Hubs as Teams devices from the Teams admin centre. Features include remote reboot, log download, settings configuration, and detailed device information.

With Notification granularity, users can use Intune to control the types of content users can see in mobile lock screen notifications.

With an Ability for Teams users to manage their third-party app subscriptions from within Teams Client, they can now view and manage all their third-party app subscriptions purchased from the Teams app store in one place without leaving the Teams, client. This allows users to easily add licenses for purchased subscriptions, cancel subscriptions, upgrade and downgrade, and access invoices.

How to now Delete or rename files in a channel and in a OneDrive folder in Teams:

Users go to the files tab to rename or delete a file in a channel and find the file they want. They then select “more options” (the three dots) on the file. To rename or delete a file from OneDrive, users select “more” at the bottom of the app, then select “files.” Once they find the file they want, they like the three dots and choose to rename or delete it.

As described, Surface Message Actions by the most recently used menu surfaces the most recently used Message Actions into the level one menu for users who want speedy access.

Customers can now easily assign, use, and track SaaS licenses in Teams and the Teams admin centre with License management in Microsoft Teams and Teams admin centre for SaaS offers built by ISVs. This feature provides ISVs with a turnkey solution without developing their license management and enforcement system.

With Upload files to your approval request via the Power Automate portal, files uploaded to the Power Automate portal are now visible in the Teams approval request detail view pane.

And finally, the Enhanced flyout design for app engagement and discovery is a feature that helps users quickly launch apps and discover new ones to help complete day-to-day tasks in Teams.
