Zoom has announced that its Workflow Automation solution is now generally available to elevate business productivity.
First revealed last summer, Zoom Workflow Automation allows users to automate routine processes within Zoom Workplace, leverage AI Companion capabilities, and reduce the need for manual switching between apps. By integrating with third-party tools like Jira, Google, and Microsoft through webhooks or direct connections, Zoom Workflow Automation aspires to enhance efficiency and collaboration across business systems.
Nicholas Costa, Senior Product Manager of Messaging Integrations & Automation at Zoom, wrote in an announcement blog:
Zoom Workflow Automation makes it easy to build powerful workflows that streamline your work across Zoom Workplace and third-party apps. You can also include AI Companion in your workflows, pulling in information and context from the platform to drive action by taking care of those little tasks for you.”
Workflow automation uses software to streamline tasks by establishing rules or workflows between systems. These workflows can be conditional, meaning they activate when specific conditions are met (“if this, then that”), or sequential, where tasks are executed in a predefined order after a trigger event.
With Zoom Workflow Automation, users can design workflows ranging from simple one- or two-step sequences to more advanced, dynamic automations incorporating conditional logic, loops, delays, and switches to direct actions across multiple paths.
Paid Zoom users can now access Workflow Automation at no additional cost during the free trial period. To take advantage of this feature, admins and account owners should ensure their Zoom Workplace app is updated to version 6.3.10 or later. They can activate Workflow Automation through the admin portal, allowing their teams to streamline processes and improve efficiency.
Zoom’s Use Case Suggestions For Workflow Automation
Zoom outlines that Workflow Automation is designed for ease of use and requires no technical expertise. From the Workflows tab in the Zoom Workplace app, users can quickly get started with pre-built templates, customising each step to fit their specific needs.
Alternatively, they can create workflows from scratch by selecting from a list of available triggers and using a simple drag-and-drop interface to build out the process. This intuitive approach makes it easy to automate tasks and streamline workflows without complex setups.
Zoom’s blog outlines several compelling use cases for its Workflow Builder tool, including with meetings. Workflow Automation can instantly create a meeting document from an AI-generated summary and share it with the team, ensuring key points and action items are not lost.
Similarly, the capability helps users stay on top of messages without being overwhelmed via a daily chat briefing summarising important updates from select channels, intending to save time and reduce distractions. To streamline responses, users can assign emoji reactions to automatically send prewritten messages, making it easy to address FAQs or acknowledge feedback without repeated typing.
Approvals and incident responses can also be made more efficient. Instead of chasing approvals, teams can use emoji-based triggers to receive instant notifications when a manager signs off on a request. When technical issues arise, workflows can instantly produce a Jira ticket and create a dedicated chat channel, ensuring the right team members are brought in immediately.
For more advanced needs, teams can build custom workflows using webhooks and conditional logic, integrating third-party tools and eliminating manual work.
Meanwhile, managers can improve team coordination with automated check-ins, sending scheduled reminders and structured forms to collect updates in an organised way. Meeting prep is also easier with AI-powered summaries that compile a week’s worth of team chat discussions into a ready-to-use agenda.
Approving leave or business travel requests no longer needs to clutter inboxes—team members can submit requests directly in chat, and managers can review and approve them in seconds. Welcoming new hires is just as seamless, with automated introductions in team channels, helping them integrate quickly into the workplace.
